Administrator: Hire Desk
Purpose of Position
- To handle all incoming calls efficiently, to back up the main reception area, the administration of procurement on the D365 system and general Hire Desk administration. To provide administrative support to the Hire Desk Department.
Qualifications
- Grade 12/N3
- Preferred: Diploma/Certificate in Sales, Business Administration, or related field.
Experience
- Required: 5 years' experience in the rental, leasing or equipment-hire industry with direct invoicing and billing responsibility.
- Required: 3 years' office management or commercial administration experience.
- Required: Working proficiency in D365 or comparable ERP system.
- Preferred: Experience in the MEWP, construction equipment, or industrial rental sector.
- Preferred: Familiarity with Eazi Access Rental invoicing policies, rate structures, and contract frameworks.
Knowledge Requirement
- Required: Microsoft Dynamics 365 (D365) invoicing, billing, and contract management
- Required: Microsoft Excel, intermediate to advanced (pivot tables, VLOOKUP, conditional formatting, data validation).
- Required: Invoice exception report management and resolution
- Required: Purchase order management and PO-to-invoice matching.
- Required: Understanding of VAT/tax invoicing requirements (Value-Added Tax Act, No. 89 of 1991).
- Required: Knowledge of internal controls and segregation of duties in a billing environment.
- Required: Microsoft Outlook, Word, and SharePoint for correspondence and electronic filing.
- Preferred: D365 Rental Module — advanced proficiency.
- Preferred: MEWP / construction equipment rental sector experience.
